Role Purpose
The purpose of this role is to support the safe handling in accordance to compliance standards, of confidential materials during the multiple exchanges in country. This includes movement and activities related to the primary storage area known as the Confidential Materials Room (CMR).
The job sits in the Examinations Services team in Jordan which consists of 25 staff members. He/she should be working very closely with the whole exam team to ensure an efficient implementation of the British Council exams in Jordan. Excellent customer and client service and effective and secure exams delivery are essential to continued growth of the business.
Main Accountabilities:
Handling Sensitive Materials
- Ensure proper script receipt tracking, packing and return or scanning, store and shredding
- Support tasks to reconcile exam materials and papers received are as per plan, and escalate any discrepancies
- Undertake sorting and packing of exam materials for designated test venues
Service Delivery
- Support the functions of confidential materials handling and the Confidential Materials Room (CMR) to ensure British Council standards are met in set up and day to day operations
- Undertake handling of suitcases and storage materials for distribution ordering and budget management
- Support planning for Test Day resources ordering, quality, distribution and management (e.g. process guides, stationery, branding/signage/ technical equipment – speaking test/hand scanners)
- Ensure the proper procedures and documentation is adhered to when handing over to courier
- Provide timely escalation of issues, enabling the adaptation of work plans where necessary
- Support continuous improvement in efficiency/cost effectiveness/quality of service delivery/systems in the team
- Plan and prioritise own work activities, which span across a range of different work streams, responding to changing and at times competing requirements to ensure effective delivery of responsibilities over a weekly/monthly time horizon.
- Responsible for ensuring On-Screen Marking of exam scripts for IELTS
- Undertake dispatch and delivery of exam papers to UK awarding bodies as per exam board deadlines and quality standards
Customers/Relationship and Stakeholders
- Carry out instructions and requests from Director Exams, Country Exams Manager and Operations Managers efficiently and effectively
- Ensure maintaining close follow up and adequate implementation of received updates, guidance or requests by the Business Assurance Team and the Examining Boards
- Support courier SLA/performance standards
Risk and Compliance
- Ensure adherence to CMR standards and management as set forth and carry out frequent random checks to proactively prevent issues from arising
- Provide support and reporting for audits and performance reviews
- Follow agreed corporate risk management processes and procedures when delivering services (e.g. child protection, security policies, financial protocols, anti-fraud measures) to protect the interests of the BC and its customers at all times
- Create awareness within the country team on the importance of maintaining the standards around CMR and distribution of exam related materials, provide feedback if behavioural gaps are observed
- Undertake spot checks of test day procedures, according to the need and in agreement with Exams Operation Manager
- Undertake several QCA reviews on behalf of operations, and reporting to the Operation Managers to identify risk potentials
About You (essential requirements for the role):
- University Degree or equivalent experience
- Arabic language fluency and ability to draft technical correspondence and reports in Arabic for communication with local authorities and external partners
- English Language at Proficiency Level; minimum of B2 level English
- Experience in identifying and minimizing risk
- Experience in compliance environment
- Organised with exceptional administration, logistics skills and sharp eye for details
- Track record of working in a tightly controlled process driven environment
- Outstanding communication and negotiation skills
- Excellent organizational and leadership ability
- Analytical mind and Problem-solving aptitude
- Exhibit strong business acumen
- A strategic thinker.

- Bachelor's degree in business or a related field.
