ORGANIZATIONAL CONTEXT

These jobs are found in the Ethiopia Country Offices, Semera SO. Job holders report to Logistics Officer, a Head of Unit, or the designate.
At this level, job holders are expected to take responsibility for completion of a range of processes and activities requiring some interpretation of standard guidelines/practices for all assistance modalities for both WFP and logistics common services. Job holders are able to recommend a course of action to staff at various levels and may allocate tasks to other support staff

JOB PURPOSE

To implement well-defined standard logistics/supply chain processes and activities to enable effective delivery of goods and services for all delivery modalities.

KEY ACCOUNTABILITIES (not all-inclusive)

  1. Identify, resolve and/or provide solutions and recommendations on queries /requests for transport planning support using Logistics Execution Support System (LESS) to ensure timely and accurate resolution of queries with excellent client service mind-set.

  2. Provide support to logistics operations and activities, following standard processes and facilitating, directly or indirectly, the effective delivery of food assistance to beneficiaries.
  3. Ensure cargo allocation is executed as per the guidelines for Tariff system, carry out thorough analysis of tonnage and value for allocated to each transporter.
  4. Assist in Last Mile monitoring inventory management processes for the inventory status from source to beneficiary.
  5. Follow up with all transporters for timely submission of waybills receipt confirmation.
  6. Liaise with CO transport planning unit for timely processing of inland TPOs.
  7. Create STOs as per approved load allocation NFR, any load not uplifted to be reallocated to the transporter who completed their allocation first.
  8. Communicate LTIs to transporters by email and follow up their acceptance of load allocation and follow for truck deployment in line with accepted LTIs.
  9. Ensure transporters share loading plans for each LTI, communicate to transporters any changes due to priority deliveries.
  10. Ensure the traffic marshal compiles daily trucks deployment report to be shared with store-keepers for loading.
  11. Effective delivery of food assistance and ensured that all transport related documents are prepared in the system on timely basis.
  12. Monitor LTI validity and transporters performance for ultimate contract performance evaluation. Participate in quarterly transporters’ performance evaluation (TEP). Data tracking, analysis and dissemination of reports of transport as per set timelines.
  13. Collect and compile data, produce and/or contribute to reports (financial closure, transport performance, losses report) and ensure information accuracy in corporate systems in support to informed decision-making.

STANDARD MINIMUM QUALIFICATIONS

Education: Completion of a university degree in the related functional area is desirable.

Experience: 3 Years and more in logistics, warehouse management, and supply chain areas.
Language: Fluency in English language and another official language may be required depending on the location of the post or area of responsibility.

DESIRED EXPERIENCES FOR ENTRY INTO THE ROLE

• Experience using corporate systems to monitor transport management.
• Experience analyzing data (SAP, CBT and excel) and transport planning.
• Experience in monitoring various aspects of logistics operations.
• Experience in providing technical business support in corporate systems.

• knowledge in LESS is an added advantage.
