Job Description

At Red Sea Farms, the Office Assistant’s duties and responsibilities include scheduling meetings and appointments, making office supplies arrangements, greeting visitors and providing general administrative support to our employees. The Office Assistant will report to the Office Manager.

A successful Office Assistant should also have experience with a variety of office software used within Red Sea Farms (email tools, spreadsheets and databases) and be able to accurately handle administrative duties. The Office Assistant will also be responsible for handling requests and queries appropriately.

Ultimately, our Office Assistant should be able to support the Office Management to ensure the smooth running of the office and help to improve company procedures and day-to-day operations.

Key Responsibilities:

  • Support the Office Management with the following duties including, but not limited to:

    • Facility Maintenance

    • Mailing/correspondence

    • Office Supplies(IT equip, office material etc)

    • Invoice handling

    • Outdoor errands/shopping

  • Schedule meetings and appointments

  • Day-to-day assistance in various request from the employees

  • Order office supplies (e.g. stationery, kitchen equipment)

  • Administation of all KAUST related accounts (e.g. KAUST id, Gate pass)

  • Maintain the office GH condition and arrange necessary repairs in cooperation with KRTP Management

  • Support all operational teams with various requests

  • Supports employees with KAUST housing

  • Supports employees with departure clearance from KAUST

  • Managing employee files in accordance with HR department

  • Assist in the onboarding process for new hires as requested from the HR department (e.g. email account)

  • Support in office operations and procedures and suggest improvements

  • Assists in Procurement Process for Office Management and Branding (Issue Purchase Requisition Requests)

  • Ensure that all procurements are invoiced and paid on time

  • Ensure accurate and timely reporting and briefing

  • Facilitate Red Sea Farms’ visits in accordance with Branding department and General Management

  • Support Branding department in RSF events

  • Liaise with Kaust and other external stakeholders and investigate possible collaborations (e.g. School programs)

  • Address employees’ queries regarding office management matters (e.g. stationery, hardware and travel arrangements)

  • Liaise with facility management vendors, including cleaning, catering and security services

  • Support in organizing in-house or off-site activities, like parties, celebrations and conferences

  • Administers the Red Sea Farms’ House unit

  • Support in fleet car management

  • Manage the office petty cash

  • Handle requests and queries appropriately

Qualifications

Key Behaviours, Requirements & Skills

  • Fluent in both Arabic and English

  • Saudi National – Must be based in Kaust region.

  • Proven experience in Office support.

  • Experience in a start-up

  • Knowledge of Office Administrator responsibilities, systems and procedures

  • Proficiency in MS Office and Google Workspace

  • Hands on experience with office machines (e.g. copiers and printers)

  • Excellent time management skills and ability to multi-task and prioritize work

  • Attention to detail and problem-solving skills

  • Excellent written and verbal communication skills

  • Strong organizational and planning skills in a fast-paced environment

  • Up-to-date with latest office gadgets and applications

  • Discretion and confidentiality

  • Ability to work with strict deadlines

  • Team-oriented personality with ability to collaborate effectively in a team environment

  • Ability to take ownership and lead projects

  • Reliability and Punctuality
