A leading Medical & laboratories supplies company based in Amman is looking to recruit an office coordinator.
Job Requirements:
- Degree in business or any other field related to the position
- Proficient in MS Office
- Practical experience in a similar position advantageousÂ
- In depth knowledge of office management and basic accounting procedures as well as technical vocabulary of healthcare industry
- Strong time-management and organizational skillsÂ
- Ability to coordinate several tasks at the same timeÂ
- Outstanding communication
- Integrity and confidentiality
Key Responsibilities:
- Attend meetings and keep minutes
- Receive and screen phone calls and redirect them when appropriate
- Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.)
- Make travel arrangements for executives
- Handle confidential documents ensuring they remain secure
- Prepare invoices or financial statements and provide assistance in bookkeeping
- Monitor office supplies and negotiate terms with suppliers to ensure the most cost-effective orders
- Maintain electronic and paper records ensuring information is organized and easily accessible
- Process orders with supplies and follow up closely the transit process and custom clearance until the goods delivered to customer sites
HR Responsibilities:
- Respond to internal and external HR related inquiries or requests and provide assistance
- Maintain records of personnel-related data (payroll, personal information, leaves, turnover rates etc.) in both paper and the database and ensure all employment requirements are met
- Support the recruitment/hiring process by sourcing candidates, performing background checks, assisting in shortlisting, issuing employment contracts etc.
- Perform orientations, onboarding and update records with new hires
Tender responsibilities
- Clarification of tender bid conditions and management of the tender preparationÂ
- Monitoring of the bid management in order to ensure it is aligned with the organization's requirementsÂ
- Prepare all tenders in accordance with client requirements and meeting deadlines
