Administrative Assitant

Job Requirements:

  • Degree in business or any other field related to the position
  • Proficient in MS Office
  • Practical experience in a similar position advantageousÂÂ
  • In depth knowledge of office management and basic accounting procedures as well as technical vocabulary of healthcare industry
  • Strong time-management and organizational skillsÂÂ
  • Ability to coordinate several tasks at the same timeÂÂ
  • Outstanding communication
  • Integrity and confidentiality

Key Responsibilities:

  • Attend meetings and keep minutes
  • Receive and screen phone calls and redirect them when appropriate
  • Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.)
  • Make travel arrangements for executives
  • Handle confidential documents ensuring they remain secure
  • Prepare invoices or financial statements and provide assistance in bookkeeping
  • Monitor office supplies and negotiate terms with suppliers to ensure the most cost-effective orders
  • Maintain electronic and paper records ensuring information is organized and easily accessible
  • Process orders with supplies and follow up closely the transit process and custom clearance until the goods delivered to customer sites

HR Responsibilities:

  • Respond to internal and external HR related inquiries or requests and provide assistance
  • Maintain records of personnel-related data (payroll, personal information, leaves, turnover rates etc.) in both paper and the database and ensure all employment requirements are met
  • Support the recruitment/hiring process byÂÂ sourcing candidates, performingÂÂ background checks, assisting in shortlisting, issuing employment contracts etc.
  • Perform orientations, onboarding and update records with new hires

Tender responsibilities

  • Clarification of tender bid conditions and management of the tender preparationÂÂ
  • Monitoring of the bid management in order to ensure it is aligned with the organization's requirementsÂÂ
  • Prepare all tenders in accordance with client requirements and meeting deadlines
