الوصف الوظيفي
- Managing the flow of information, organizing appointments and maintaining up-to-date calendars to ensure effective prioritization of tasks.
- Preparing of reports, correspondence and presentations to provide exceptional and professional documentation for stakeholders.
- Coordinating logistics for meetings, conferences, events, domestic and international travel arrangements to maximize time, efficiency and value.
- Maintain discrete coordination of sensitive, legally privileged company and personal executive information to ensure confidentiality.
- Maintain an efficient system of distribution lists and organizational charts to ensure efficient generation of correspondence and communication.
- Using judgment to prioritize effectively in matters of routine and non-routine nature to maximize and conserve executive’s time.
- Screen incoming telephone calls, take and deliver accurate messages, respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff.
- Manage contacts and be responsive to emails/texts/phone calls, even outside normal business hours.
- Welcome guests by greeting them, in person or on the phone; answering or directing inquiries.
- Maintain record of minutes of meeting for future reference and follow up where necessary.
Looking for a candidate with a proven track record in MS-Office, scheduling, heavy administrative workload management, professional communication skills, stakeholder and task handling, preferably within a marine organization.

Requirements & essential skills:
- Arabic speaking
- Master Degree in Business Administration or related field
- Extensive experience as EA/PA to Executive Leadership
- Advanced proficiency with MS Office, particularly Excel, PowerPoint, and Outlook
- Experience working in a high demand environment
- Highly organized – can build process and structure for greater visibility and access to information.
- Excellent attention to detail
- Intense diary and complex calendar management skills
- Confident personality – can work pro-actively rather than be instructed and build professional relationships quickly
- Ability to ensure and maintain confidential records and correspondence
