BACKGROUND AND PURPOSE OF THE ASSIGNMENT:

The World Food Programme (WFP) is the leading humanitarian organization saving lives and changing lives, delivering food assistance in emergencies and working with communities to improve nutrition and build resilience. Finance is one of the core functions in WFP with a strong network of over 800 employees globally, operating in 90 country offices.

The new Finance Strategy 2019-2024 recognizes the role of technology as a key enabler for a successful finance function and a critical driver for its aspired digital transformation. The purpose of this assignment is to strengthen the Financial System and Process Support Team (FINS) by providing business analysis capacity to the Financial Helpdesk Team to ensure continuous and efficient system maintenance and scale up strategical finance digital transformation initiatives with a particular focus on Helpdesk activities and automation development.

ACCOUNTABILITIES/RESPONSIBILITIES:

1. Support the helpdesk team activities to ensure timely and efficient resolution of queries for finance, budget and programming staff worldwide, including the following main responsibilities:

  • Attend first level end user support requests;
  • Identify FAQs and maintain common knowledge database;

  • Prepare monthly statistics on FIN WINGS Helpdesk performance.

2. Support FINS Senior Process experts for Finance, in the resolution for Accounts Payable, and Treasury related issues. This includes the following main responsibilities:

  • Under the guidance of Senior process experts, facilitate the resolution of key integration issues within RM functional areas and with other business processes, in particular with Finance, HR, Fund Management, Asset Management, Travel Management, MM-Procurement and other supply chain processes;
  • Develop effective relationships with Process Experts and Business Process Ownders, seeking to establish and promote partnerships to ensure comprehensive delivery of IT solutions within the business area;
  • Apply strong system knowledge of SAP financial modules and provide analytical, problem-solving, troubleshooting and support to end-users, business process owners and other functional areas;
  • Ensure that requirements are correctly captured and documented by the WINGS Application Maintenance Team, and that change requests are prioritized according to business needs;
  • Assist the Application Maintenance Team in the implementation of system fixes and improvements, supporting the preparation of functional specifications and conducting user acceptance tests, coordinating with other stakeholders when necessary;
  • Manage basic configuration for pre-approved changes in WINGS, e.g. configuration of house banks, petty cash accounts, bank communication;
  • Ensure proper maintenance and update of WFP's Enterprise Accounting Structure (EAS), including important corporate master records/structures in WINGS, such as new location/office codes (business areas, plants, GL, commitment items, cost elements, etc.)

3. Support ongoing implementation of digital transformation initiatives for Finance. In particular, RPA implementation, rollout and maintenance and WFP Self Service (WSS) form digitalization.

4. Provide ad-hoc support as required in order to guarantee business continuity in FINS.
5. Other duties where required.

QUALIFICATIONS AND EXPERIENCE REQUIRED:

Education:

Advanced University degree in Finance, Business Administration, Accounting, or other relevant field, or First University degree with additional years of related work experience and/or trainings/courses.

Experience, Knowledge, and Skills:

At least 3 years of experience in Financial Management, General Accounts, Accounts Payables, Accounts Receivable, Treasury and related business processes, combined with experience on SAP implementation or helpdesk support on SAP-Financial module.

Excellent overall technical and analytical skills, critical reasoning and strong problem-solving skills;

Strong organizational and interpersonal skills, ability to meet deadlines and to manage multiple tasks effectively and efficiently, ability to take initiative and be innovative;

Proven writing, editing and language skills, and an ability to convey complex ideas in a concise, clear, direct, and lively style;

Accountability, moral integrity and high standard of professional ethics.

Prior experience with multicultural teams and multinational environment is desirable.

Language:

Fluency in oral and written English with an intermediate knowledge of another official UN language (Arabic, Chinese, French, Russian and Spanish) or Portuguese (one of WFP's working languages) is desirable.
