Manage the Client office and provide high level of admin/secretarial support.

  • Ensures confidentiality of all office matters.
  • Manages the Principles diary by managing and maintaining their calendar including scheduling appointments, booking internal/external meetings in alignment with the principles daily schedule.
  • Attend meetings with or on behalf of the principle when required to take accurate minutes of meetings.
  • Draft and edit correspondence, communications, presentations and other documents on behalf of the Principle in English and Arabic language and conduct related researches when needed.
  • Ensure proactive follow up on outstanding actions in order to achieve deadlines.
  • Travel schedule and hotel bookings in order to meet travel requirements.
  • Receives questions and enquiries directed to the principle and serves as a liaison with internal employees at all levels
  • Plans visits of high profile guests of the organization as per the protocol for VIP guests and Follows-up with the related department when required.
  • Manages all principles events
  • Handles any ad hoc requests appropriately and professionally
  • Secure appropriate signatures and track documents through the approval process on behalf of CEO
  • Reports periodically to the Principle in regards of all the correspondences, daily tasks, related updates and developments, in addition to any reports requested by the Principle
  • Participate as required in special department projects and contribute to companywide projects and emergency response situation.
  • Perform other duties as assigned by the Direct Manager.

المهارات

  • English and Arabic, both written and spoken to a business level in essential
  • Strong skills in MS Office- Word / Excel / PowerPoint.
  • Experience or qualifications in advanced visual application (E.g. Adobe Professional) would be advantageous
  • Minimum Bsc in related area
  • UAE driving license
  • Minimum of at least 5 years of work experience as an Executive Assistant, at least 3 of which should at senior management level.
  • At least 2 years of this experience should have been gained in the UAE
  • Knowledge of producing presentations to a professional level to be delivered to Board Members, Committees, Clients, Stakeholders etc.
  • Knowledge of Administration policies and processes
