ORGANIZATIONAL CONTEXT
These jobs are found in Country Offices (CO and Area/Field Offices). Job holders report to a Logistics Officer, Head of Unit or the designate.
At this level, job holders demonstrate responsibility and initiative to respond independently to queries with only general guidance for all assistance modalities for both WFP and logistics common services. There is a requirement to use judgment in dealing with unforeseen problems on a daily basis. Job holders typically manage a small team, supervising and coaching staff.
JOB PURPOSE
To provide specialized support functions and/or supervise staff performing standard logistics/supply chain processes and activities to enable effective delivery of goods and services for all delivery modalities. Assist the Fleet Logistics Officer in coordination with Fleet staff, to ensure timely, efficient, cost-effective and maximise utilization of the Fleet in accordance with procedures & normative guidelines as establish by WFP.
KEY ACCOUNTABILITIES (not all-inclusive)
Under the direct supervision of the Logistics Officer the incumbent shall perform the following duties:
1. Ensure that Drivers/Convoy Leaders carry out there duties effectively in accordance with their Job Descriptions.
2. Ensure that all the necessary permissions/documentations are promptly obtained from all the relevant Governmental bodies and respective parties to operate the fleet efficiently.
3. Responsible for formulation of Convoy and route planning as well as the updating of transport route matrix.
4. Constantly track and monitor the position of all trucks/convoys using HF/GPS and report any irregularities to Fleet Logistics Officer for action as required.
5. Ensure correctness and registering accurate information onto all documents and responsible to produce timely daily, weekly, monthly, quarterly, and annual reports.
6. Liaise with Logistics to obtain Weekly/Monthly Transport Plans to ascertain projected tonnages and measure these against actual tonnages moved.
7. Responsible to ensure that all data is entered into the FMS pertaining to the Trip modules e.a.
8. Liaise with CTG to ensure that there is an adequate pool of fully trained drivers ready for service to replace drivers who are unable to work or are on leave cycle.
9. Will perform any other duties as requested by immediate Supervisor.
10. Ensure that any information/data or reports requested are promptly carried out and expedited in an efficient manner.
11. Perform software checking routines established and ensure that all the data downloaded into the system is accurate and take the necessary steps to resolve any irregularities.
12. Responsible to ensure that all data produced in the system is accurate and always sent and received on a timely basis and to report any irregularities to immediate Supervisor.
13. Consolidate all findings and to convert these conclusions reached into useful formats which can be interpreted by management for appropriate action and decision making.
14. Constantly collect and collate useful data which can be used to improve the general systems established and communicate this information to immediate supervisor, such will liaise and co-operate with all other employees in fleet and logistics.
STANDARD MINIMUM QUALIFICATIONS
Education: Completion of undergraduate degree in Business Administration, Logistics or any other related field.
Experience: Three or more years of relevant experience in Logistics.
Language: General Service: Fluency (level C) in English language. Fluency in the local languages (Dari and Pashto).
DESIRED EXPERIENCES FOR ENTRY INTO THE ROLE
• Experience maintaining corporate systems and running queries on ongoing shipments, pipeline information, insurance claims, and food stock.
• Experience in administering third party service providers’ contracts.
• Experience in compiling contract documentation.
• Experience in contract execution.
• Experience in budget monitoring and reporting.

Duty Stations: Kabul, Jalalabad, Mazar, Herat, Kandahar, Faizabad
Salary: Competitive remuneration package
