TERMS AND CONDITIONS

KEY ACCOUNTABILITIES (not all-inclusive)

The Human Resources Associate will work under the direct supervision of the Human Resources Officer and in close coordination with HR team. He/she will be responsible to deliver a full range of HR support services to ensure accurate implementation of WFP policies and procedures and facilitate the effective functioning of a client-focused and strategy-oriented HR services. The following duties (not all-inclusive) will be performed:

1. Collaborate and support in Talent acquisition, selection, and onboarding processes:
• Collaborate with business partners, review recruitment needs, prepare annual data on workforce requirements, recruitment planning, identify talent sourcing networks for diversity and inclusions.
• Review job profiles/TOR, coordinate and execute end to end recruitment and selection processes as a recruiter ensuring optimum use of e-recruitment tools and technology by all stakeholders.
• Conduct onboarding training and induction formalities ensuring the conditions of terms of service are explained and understood.

2. Staff Management for day-to-day HR administrative operations:
• Plan and executive timely management of Benefits and Entitlement and Payroll actions, and payments of staff/employees in the system as per monthly deadlines.
• Use HR management systems for reviewing, entering, and updating a variety of HR data ensuring accuracy of data including monitoring and executing administrative actions on staff management and reporting.
• Prepare, review range of HR documents and submit variety of monthly reports on medical benefits, premium deductions, service delivery recovery sheets, UN-E Directory.
• Collate and prepare office Learning & Development plan; conduct Learning and trainings information sessions on variety of HR topics and maintain database of trainings attended by staff.

3. HR Guidance, Database Management, Reporting & Documentation:
• Analyze, respond to a wide range of complex HR queries, resolve issues with general guidance; escalate unforeseen issues.
• Identify evolving needs of the organization and recommend strengthening of HR processes and procedures, develop SOPs/Workflows, to support improvements in HR services.
• Review and compile variety of confidential data for management reporting and compliance. Maintain Organization Charts and Staffing table.
• Coordinate, support, and coach junior support staff in the HR team.
• Maintain confidential personnel records of staff for proper documentation in compliance with the established standards.

4. Perform other related responsibilities as assigned.

STANDARD MINIMUM QUALIFICATIONS & EXPERIENCE

EDUCATION:
Completion of secondary school education. A post-secondary certificate in the related functional area with specialized certification in HR or supplemented by training in personnel or general administration work. Bachelor's degree in Social Sciences, Psychology, Human Resources, Business/Public Administration, Psychology, or related field is an advantage.

WORK EXPERIENCE:
• Six or more years of progressively responsible work experience in Human Resources generalist or related experience in international/ national multicultural organizations.
• Experience in HR data management, HR management Information System like Peoplesoft or SAP or Workday and data analyses and reporting using Excel is required.

KNOWLEDGE AND SKILLS:
• Proficiency in MS Office applications eg Word, Excel and PowerPoint is required.
• Ability to use sound judgement in dealing with unforeseen problems on a daily basis is required.
• Expected to maintain and handle sensitive and confidential HR information and documents.
• Expected to use initiative and knowledge to independently respond to queries with general guidance. Strong on Client orientation and responsiveness.
• Expected to handle multitasking; manage work pressures while staying focused and calm and willingness to learn new things.
• Expected to maintain respectful communication with individuals across the organization.
• Expected to produce & review accuracy of work, pays attention to detail, is methodical, organized, strong on follow-ups with internal stakeholders.
• Demonstrates humility, positive attributes, patience, and experience in a team environment.
• Possess strong working values, upholds organizational Values and standards on HR principles.
• Ability to provide training to new staff within area of expertise supported with adhoc-queries.
• Knowledge of HR best work practices, trends, and techniques, gained through relevant technical trainings and experiences.

LANGUAGE: Proficiency in both written spoken English and Hindi.
