WFP supports children across Syria with healthy meals and snacks at school, mothers with nutritious diets, and families and communities with sustainable livelihood projects.
ORGANIZATIONAL CONTEXT
The Business Support Assistant will work in the HR Operations Unit and in collaboration with the other units of WFP
To deliver a range of routine business support tasks, to ensure that HR operations unit activities are effectively supported. Understand the risk related to legal, financial and reputational risks linked to own action and consequences. Expected thorough HR processing of assigned tasks, embracing a culture of full compliance and customer care.
KEY ACCOUNTABILITIES (not all-inclusive)
Within delegated authority, the Business Support Assistant will be responsible for the following duties:
1. Collate information for inclusion in reports, documents and correspondence, to support the effective work of other staff.
2. Respond to standard queries and provide timely and accurate guidance.
3. Process and manage routine administrative and financial tasks in various functional areas, to contribute to the effective and timely management of resources.
4. Manage and maintain records and databases, to ensure information is organized and readily available for staff.
5. Maintain relationships with a range of individuals through the provision of business support to assist in information sharing and service delivery to staff.
6. Proof-read reports, documentation, correspondence, etc., making changes in line with established guidelines where appropriate.
7. Contribute to the improvement of business procedures and processes.
8. Collect and perform basic analysis of data to contribute to quality business information management.
9. Support in the implementation of Onboarding Programmes and provide HR briefing to the National new recruits.
10. Provide administrative support during the implementation of Syria Country Office annual training and development plan.
11. Design and prepare PowerPoint Presentations, deliver Presentations/Awareness sessions based on the business needs.
12. Support in implementation of the performance evaluation process
13. Perform other duties as required.
STANDARD MINIMUM QUALIFICATIONS
Education: Completion of secondary school education. A post-secondary certificate in the related functional area is desirable.
Experience: At least four years of progressively responsible work experience in the administrative field including at least 2 years of experience related to HR operations in any of the following fields:
– Performance Management
– HR data management
– Learning & development
– Onboarding
Knowledge & Skills:
- Proficient in the use of office equipment and computer software packages, such as Microsoft Word
- Knowledge of work routines and methods in order to complete processes under minimal supervision
- Knowledge of specialized common business practices and methods gained through relevant technical training and experience
- Uses tact and courtesy to give and receive information to a wide range of individuals
- Good communication skills required to give and receive information and work with a variety of individuals
- Ability to develop and maintain relationships with a range of individuals in order to provide a high-quality support service
- Ability to offer guidance or basic on-the-job training to more junior staff
- Ability to identify data discrepancies and rectify problems requiring attention
- Ability to maintain confidentiality.
Language: Fluency in both oral and written communication in English and Arabic.
