The Logistics Division at the GIZ Country office in Jordan-Amman is seeking a “Junior Logistics Specialist” for full-time base employment as per the below job profile.
Qualifications and specialist knowledge
- BA in Business Administration, Logistics, Languages, Translation, IT or similar
- 3-5 years professional experience in a comparable position
- Outstanding administrative skill, accuracy & high attention to details
- Excellent knowledge of English & Arabic
- Excellent workinh knowledge of IT & Computer applications
Main activities
- Participates in the tender opening process by receiving incoming offers, documents and emails from suppliers and bidders
- Maintains archived files and handling shipments of files to Head Office according to rules & regulations
- Processes and/or deputizes in all issues pertaining to official trips and travel claims, including advances and ticketing
- Prepares & follows-up on all logistics services related to GIZ seconded staff, such as visa, residency, work permit, driving license and any other required official procedures
- Follows up on customs clearance and any related issues
- Keeps and maintain records and monitoring lists related to the Logistics Division
Core tasks
In your role you support your colleagues in ensuring that the required materials and infrastructure are in stock, taking into account the binding GIZ procedures, guidelines and tools.
You deal with the tasks assigned to you related to incoming goods, commissioning and outgoing goods, and assist in ensuring that all goods are safely stored and that the project material is delivered on time.
You also respond promptly and competently to matters that fall within your assigned thematic area, where applicable in consultation with experienced specialists, and following consultation remain available to answer further enquiries.
You provide support in selecting and controlling external service providers, for example in the areas of customs clearance and/or facility management. You also assist in conducting market analyses and in monitoring and optimising all logistics processes.
You clearly communicate the relevant requirements, conditions and restrictions in terms of your capacity to act with due regard for compliance rules and P+R. You deal with the matters and job orders assigned to you with due regard for all the legal, contractual, socio-political and corporate policy requirements and the instructions of your line manager and follow up the processing and completion of those tasks.
You support the contact person for freight forwarders, transport companies, storage and customs and jointly handle customs administration and freight documentation. You independently identify possibilities for improving effectiveness and efficiency in the logistics and supply chains.
Working with experienced specialists, you resolve problems that arise in your area of responsibility on the basis of existing rules and draw attention to more complex challenges in your team. In addition, you deal with all associated matters in your thematic area promptly and competently.
You provide support for knowledge management and ongoing process development in your area of responsibility. You also prepare and share documentation.
You perform the tasks assigned to you by your line manager, where required.
