Job Description
Overview
Responsible for providing a wide range of administrative support to a department / organization. Works on assignments that are moderately complex in nature. Requires problem solving, ability to work independently or as a team. The ideal candidate will have a high level of professionalism, organizational, time-management and administrative skills. Must be a cross-functional integrator, capable of influencing other departments to collaborate and improve or develop the most efficient processes for all stakeholders. Responsibilities
- Welcome new employees to site upon arrival and ensure completion of local onboarding requirements such as room assignment, government email set up, coordination with gaining department Manager and Vectrus HR Orientation training is scheduled.
- Works in coordination with USG POC to prepare, submit, and track Other Country National (OCN) badging packets through completion, issuance, and follow-on renewal. Includes scheduling and attending screening appointments.
- Assists with administrative requirements on project/program related efforts.
- Follows up on correspondence requiring review, approval and/or response.
- Handles routine inquires made by internal and external customers.
- Acts as an information source on organization policies and procedures.
- Arranges meetings for management and coordinates presentations materials.
- Attend meetings, as required, takes, prepares, and distributes minutes.
- Point of Contact to the Vectrus Training Department and filters employee training issues to Training; ensure employee follows training troubleshooting and provides screenshots of issue.
- Provide support related to purchasing requirements, including processing/expediting purchasing requisitions (PRs), purchase orders (POs), and billing invoices, as needed.
- May be required to work special events and/or in other departments based on mission requirements
- Responsible for maintaining a safe, clean, sanitary, healthy, presentable, professional atmosphere, free of dust, clutter and trash in all working facilities and areas.
- Responsible for implementing and following a comprehensive, flexible, and properly documented training program.
- Responsible for proper utilization and safeguarding of all government and contractor provided property (e.g., to include government facilities, equipment and tools).
- Responsible for precise execution of company time reporting procedures and accurate completion of timesheet.
- Performs other duties as assigned.
Qualifications
- Education / Certifications: One-year related experience may be substituted for one year of education, if degree is required.
- High School Diploma or equivalent.
- Associates Degree in Business Administration, preferred.
- Must be a U.S. Citizen with a current, valid U. S. Passport and U. S. Driver’s License.
- Must have and maintain a valid U. S. SECRET or Interim Secret Security Clearance prior to deployment.
- Must be fully vaccinated against COVID19.
- Must be able to read, write, speak and understand English fluently.
- Must be able to pass employment and deployment qualification requirements that include psychological, medical, dental, drug testing, background checks, etc.
- Candidates must successfully complete hands on CBRN (chemical, biological, radiological, and nuclear) defense training. Training includes the successful fit testing of DoD provided protective gear.
- Experience:
- Three years of related administrative experience.
- Skills & Technology Used:
- Good communication, teamwork and analytical skills.
- Must be computer proficient in MS Office products.
- Able to manage multiple tasks and meet deadlines, working independently.
- Able and willing to work periods of long hours to meet mission requirements
- Military experience in a contingency environment and knowledge and experience working with government contracts preferred.
- Other Requirements:
- Work will be primarily indoors, but outdoor activity may occur. Exposure to heat, cold, dust, noise, chemicals may occur. Overtime and shift work may be required depending on contractual needs. Employee must comply with all Federal, State and Local regulations and published Company work rules as well as written instructions. Task specific work environment training will be provided as required. Must be prepared to function in a wartime environment to support U. S. interests. 100% Overseas Assignment.
