The Opportunity
The Program Coordinator role provides essential administration, logistics, procurement and finance support to programs and senior staff in the regional Program Quality and Development (PDQ) team. Working in close coordination with key program managers, this position will ensure quality administrative support on key processes, to support effective program delivery and leadership of the team.
The Program Coordinator will use their excellent administration, coordination and finance skills to support ongoing processes and to establish new mechanisms to better support key tasks. This position relies on developing strong relationships within the PDQ Team, including those based remotely, and with Regional Office (RO) support teams – Administration, HR, Finance, Supply Chain and Awards Management.
In the event of a major humanitarian emergency, the role holder will be expected to work outside the normal role profile and be able to vary working hours accordingly.
In order to be successful, you will bring/have:
- Minimum of three years’ experience in a coordination or administrative role, including previous experience in and supporting multi-disciplinary teams
- A minimum of a BA in a relevant field
- Experience setting up and maintaining administrative, financial and event management processes
- Excellent written and oral communication skills, including fluent written and spoken English and Arabic
- Excellent interpersonal skills with experience liaising with stakeholders and of working with people from a range of backgrounds and cultures.
- Ability to work on own initiative, manage a high volume of work and prioritise against tight deadlines and under pressure
- A high level of IT literacy, including troubleshooting and utilisation of projectors and videos
- Understanding of and commitment to humanitarian/development work and to the mission of Save the Children International
Key Areas of Accountability:
Team leadership support
* Provide effective administration and coordination support for the regional PDQ Director across a range of recruitment, HR, procurement, finance, administration and fundraising tasks and processes.
* Support procurement of goods and services for the regional PDQ Director, including raising purchase orders and tracking key steps and delivery outputs
* Lead on providing administrative support for travel and visitors for the regional PDQ Director
* Coordinate orientation schedules for new staff in the PDQ team with internal and external teams; and liase with other teams to ensure timely access to SCI systems for new team members; maintain a current organigram for the PDQ Team
* Contribute to and coordinate the preparation of presentations and materials to support fundraising for regional roles and new programs
* Coordinate regional PDQ Director’s meeting schedule
* Maintain costing information and tracking systems to support team budgeting and budgeting of other RO staff supported by regional programs
* Maintain confidentiality of sensitive information at all times
* Take minutes of meetings, as required
Project management support
Provide support to Project / Program Managers and Budget Holders in:
* Reviewing forecasting and expenditure reports, highlighting areas needing attention and ensuring lessons learned are reflected in future forecasting and planning
* Supporting effective administration of program partnerships, including supporting partnership agreements, tracking of progress and liaison with RO support teams
* Tracking partner reports and providing an initial quality check on completeness of reports submitted
* Provide administrative and technical support in translating programs materials to Arabic
* Provide administrive support to communications with CO Focal Points and partners
* Support recruitment processes and procurement of goods and services for project activities, including raising purchase orders and tracking key steps and delivery outputs
Training and meeting coordination
In collaboration with RO support teams:
* Support face to face training and meetings by sourcing, booking and liaising with venues and suppliers before, during and after the events
* Support remote / online training and meetings, ensuring effective coordination and logistics support
* Manage event budgets, tracking expenditure, processing invoices and other financial information, such as expense claims and payment of suppliers
* Raise purchase orders as required for venues and materials
* Support in confirming that documentation is obtained for all expenditure
* Ensure effective support and coordination of training / meeting materials, and ensure the necessary equipment and stationary is available to participants and facilitators
General
* Contribute to regional team meetings and planning processes, internal initiatives and reporting requirements
* Demonstrate leadership in relation to Save the Children policies and practice with respect to child safeguarding, bullying and harassment, code of conduct, equal opportunities and other relevant policies and procedures.
